CLERICAL SUPERVISOR I
SANTA CRUZ COUNTY
Under direction, to supervise a large clerical staff performing non-routine functions or a small clerical staff performing difficult and responsible clerical functions; and to do related work as required.
This is the first full supervisory level in the general clerical series. Supervision is the most time consuming factor. Incumbents normally do not participate in the work of the unit except to perform extremely difficult or unusual work as required. Technical supervision exercised by positions in this class includes establishing priorities, planning and laying our work, determining workflow, reviewing work, and seeing that deadlines are met. Incumbents exercise a number of elements of administrative supervision including making recommendations on or selecting subordinates, preparing evaluations, issuing warnings, prescribing work schedules and shifts, and vacation plans.
Plans, assigns and reviews work, gives instructions and makes decision on difficult clerical problems in connection with the work of subordinate clerical staff; schedules work to meet deadlines; establishes priorities; determines efficient ways to organize tasks of subordinates; maintains liaison with other units or offices to insure efficient work flow; assists subordinates in handling difficult or unusual problems; reviews work of subordinates for adherence to established procedure and for accuracy, completion and conformance to applicable rules and regulations and makes changes as appropriate; makes recommendations on or selects subordinates; prepares performance evaluations; issues warnings; prescribes work schedules, vacation plans and work shifts; directs the training of subordinates; instructs new employees in departmental policies and rules; confers with management on office clerical systems and procedures; directs the implementation of revised clerical systems and procedures; estimates supply and equipment of requirements for budgetary purposes; assists in the preparation of departmental budget; provides explanations to employees, departments and the public which require knowledge of County operations and of departmental operations, rules and procedures; performs difficult and complex clerical work as required; may take and transcribe difficult dictation or minutes of committee and commission meetings; may provide vacation relief for other classes as required; operates word processing equipment or microcomputer to input, access and print a variety of data and reports.
Training and Experience: Any combination of training and experience that would provide the knowledge and abilities listed above is qualifying. A typical way to obtain this training and experience would be:
Three years of responsible clerical experience at the journey level or higher. Formal secretarial or General office clerical training may be substituted for up to one year of the required experience on an hour for hour basis.
Performance: Some positions may require successful completion of a performance test, which demonstrates keyboard and formatting proficiency.
